Monday to Friday, 9:00 AM to 5:30 PM Pacific Time, with a 30-minute break
Salary:
$1,200 per month
Job Overview:
We are seeking a highly organized and detail-oriented
Legal Assistant
to support our
personal injury
team with administrative and case support tasks. This role works under the supervision of the Case Manager and is responsible for handling time-sensitive, process-driven tasks to ensure cases move forward efficiently. The ideal candidate has prior experience in personal injury law, strong follow-up skills, and the ability to manage high-volume administrative responsibilities.
Spanish fluency is strongly preferred , as a significant portion of our clients are Spanish-speaking.
Key Responsibilities:
Create and maintain case files in FileVine
Schedule clients with designated medical providers
File insurance claims with clients’ and adverse parties’ carriers
Send initial case correspondence, including:
Client Welcome Letters
Letters of Representation (LOR)
Police Report Requests
SR1 and SR19 forms
Preservation of Evidence letters
Provide repair shops with claim information for inspections, repairs, and total loss matters
Calendar Statute of Limitations deadlines
Request and obtain medical records and bills (ambulance, hospital, PCP, urgent care, chiropractic, imaging, etc.)
File Medi-Cal and Medicare liens
Mail and obtain witness statements
Update and maintain the Medical Matrix and organize the Meds Folder
Add providers and documentation to FileVine
Follow up with medical providers regarding treatment status, reports, and billing
Attach and organize medical records, bills, and reports (MRI, X-rays, prescriptions, etc.)
Separate and maintain well-organized medical documentation folders
Report case issues or concerns to supervising staff
Participate in bi-monthly case review meetings
Required Skills & Qualifications:
1–2+ years of experience in personal injury law (strongly preferred)
Experience handling medical records requests and insurance claims
Familiarity with case management systems (FileVine preferred)
Strong organizational skills with high attention to detail
Ability to manage repetitive, process-driven tasks efficiently
Excellent follow-up and documentation skills
Ability to work under supervision and escalate issues appropriately
Strong written and verbal communication skills
Bilingual in English and Spanish (strongly preferred)
Ability to manage multiple deadlines in a fast-paced environment
