Job Description

Overview Minimum bachelor's degree in logistic, transportation management, port & shipping management

Have 2 - 6 years experience in similar position

Fluent in English both oral and written

Required Knowledge and Skill(s): purchase and logistic management, price and contract negotiation, purchasing and logistic data analysis, warehouse management, shipping knowledge, oil and gas industry terminology, oil and gas equipments, custom/export-import, negotiation skill, SMS Manual, SOP Logistic, company regulations, PMS systems, basic computer (.doc, .xls, .ppt, email)

Have achievement orientation, customer service orientation, continuous improvement, interpersonal relationship, able to analyze issue and use sound judgment, planning organizing, concern for order, orientation to detail, work efficiently, coordination, interpersonal persuasiveness ability, business process understanding

Responsibilities

Ensure the smooth and timely delivery of purchased materials from suppliers to vessels in accordance with approved plans and procedures, with a focus on cost efficiency.

Ensure all necessary documentation related to goods delivery is properly completed and maintained.

Ensure logistics for trading vessels and offshore operations are well-managed.

Ensure the list of approved forwarders maintained and updated.

Monitor daily ship positions and activities.

Utilize the Tracking Order List system to control and track material delivery status.

Monitor the position and movement of logistics and materials during delivery.

Track vessel movements to ensure timely and efficient delivery.

Check, prioritize, and route orders effectively.

Coordinate with purchasers and/or suppliers to confirm material readiness for delivery.

Manage logistics data related to warehouses (forwarders, suppliers, agentsโ€™ transit points) and shipments en route to vessels.

Liaise with forwarders, agents, operations, superintendents, and vessels to arrange material deliveries.

Prepare and manage all documentation required for import and export in accordance with Customs regulations.

Recommend suitable transportation options to the Technical/Marine team based on material type, delivery time, costs, port destination, and priority.

Inform the delivery costs to the Technical/Marine team.

Verify approval authorization is complete and in line with internal procedures.

Initiate delivery processes upon receiving proper approval from the Person-in-Charge (PIC).

Ensure suppliers and forwarders adhere to proper packing and transportation standards for safe delivery.

Follow up with suppliers and vessels for any missing delivery receipt notes or dispute resolutions.

Collaborate with forwarders to address logistical issues and ensure smooth deliveries.

Stay informed about Customs regulations in destination countries to ensure compliance and smooth import-export processes.

Validate transportation costs against standard tariffs in invoices.

Check and record Delivery Notes and Received Orders from vessels; ensure logistics data is accurately recorded in the Tracking Order List system.

Maintain and update the Forwarder Tariff list.

Develop and maintain good relationships with suppliers and forwarders; conduct visits to forwarders and ports as needed.

Perform regular reviews of material shipments and receipts.

Share the material supply plan with vessels, agents, and relevant departments (Technical, Marine, and Operation).

Work closely with the HSE team to ensure compliance with safety regulations, especially for hazardous or dangerous materials.

Assist the Procurement Manager in collecting and analyzing logistics data.

Collect, record, and file delivery receipt notes.

Update the delivery price list regularly.

Maintain and update the Tracking Order List.

Update the list of approved forwarders after obtaining approval from the General Manager and Procurement Manager.

Prepare and submit periodic logistics reports to the Procurement Manager and Deputy General Manager.
