Team Introduction
The GA Shared Services Team at DGI provides centralized operational and administrative support across Daewoong Group’s Indonesian subsidiaries. We manage core general affairs functions including office and facility management, vendor coordination, asset administration, and employee services to ensure smooth, compliant, and efficient daily operations.
By delivering structured and reliable support, the GA team enables each business unit to focus on its core activities while maintaining a safe, well-managed, and productive working environment. Supporting six Daewoong entities in Indonesia, GA DGI plays a key role in strengthening operational efficiency and organizational stability across the group.
Job Summary
We are seeking a highly experienced and proactive General Affairs Specialist to manage General Affairs operations across multiple Daewoong Indonesia entities. This role requires strong GA expertise, excellent coordination skills, and the ability to manage multiple initiatives within a diversified business environment.
Key Responsibilities
Asset Management
Collect, organize, and maintain data related to all procurement and purchase activities.
Prepare and manage documentation for all purchased assets.
Monitor, control, and ensure proper maintenance of company assets.
Prepare and submit monthly asset reports, including documentation and asset status.
Vendor Management
Maintain and monitor all GA-related vendor data.
Handle contract renewals for GA vendors in Jakarta.
Update and manage vendor databases in accordance with contractual terms.
Prepare annual vendor performance and evaluation reports.
Office Space & Facility Management
Manage office space allocation and layout planning to support operational needs.
Coordinate office relocations, renovations, and furniture installation.
Maintain effective relationships with landlords and building management.
Monitor office occupancy and optimize space utilization.
Ensure office facilities are well-maintained, safe, clean, and compliant.
Manage office access cards, including issuance, replacement, deactivation, and coordination with access control systems.
Event Management
Manage end-to-end office and company events, from planning to execution and post-event evaluation.
Source and coordinate with vendors to support event requirements.
Prepare event accountability and post-event reports.
Organize company events such as Iftar Dinner, Employee Gathering, Socialization Programs, and other internal events.
Equipment & Employee Support Management
Manage the provision and coordination of employee and office needs, including electronic devices, access cards, ID cards, office equipment, company stamps, catering, and flower arrangements.
Manage the provision, monitoring, and replenishment of office stationery and supplies.
Requirements
Bachelor’s degree in Business Administration, Management, or a related field.
Minimum 2–3 years of experience in General Affairs, Office Administration, Asset Management, or a similar role.
Strong administrative and documentation skills with high attention to detail.
Proficient in Microsoft Office (Excel, Word, PowerPoint) and basic database management.
Preferred Qualifications
Experience in managing end-to-end corporate or office events.
Experience in vendor negotiation, contract administration, and vendor performance evaluation.
Strong problem-solving skills with a proactive and service-oriented mindset.
Experience supporting multi-site or multi-entity organizations.
Willingness to work with flexible hours to support operational or event-related needs.
