Job Summary
The Senior Marketing Executive is responsible for handling customer inquiries, preparing and following up on quotations, and managing sales order administration to ensure accurate processing and timely delivery. This role requires close coordination with internal departments and customers to ensure smooth order execution, proper documentation control, and effective communication. Experience in sales order management, export documentation, and logistics/shipping coordination will be considered a strong advantage.
Tasks & Responsibilities
Handle and respond to customer inquiries in a timely and professional manner.
Prepare, review, and follow up on quotations (RFQs), ensuring accuracy of pricing, costing references, and commercial terms.
Review customer purchase orders and manage sales order processing, ensuring proper documentation, contract compliance, and system entry.
Coordinate with Engineering, Production, Procurement, Logistics, and Finance departments to ensure smooth order execution and on‑time delivery.
Monitor order status and proactively provide accurate updates to customers.
Support logistics and shipment coordination, including preparation and verification of export and shipping documentation when required.
Liaise with the Finance department regarding invoicing, payment follow‑up, and commercial matters to ensure healthy cash flow.
Assist in contract review and clarification of commercial terms prior to order confirmation.
Support tender preparation and submission when required.
Maintain organized and accurate records of sales transactions, contracts, customer correspondence, and sales pipeline data.
Ensure compliance with company policies, commercial procedures, and documentation standards.
Participate in customer meetings and provide commercial support during discussions or negotiations.
Identify potential business opportunities and support business development initiatives as assigned by Management.
Qualifications & Experience
Bachelor’s Degree in Business Administration, Marketing, Finance, Engineering, or a related discipline.
Minimum 5 years of relevant working experience, preferably in a manufacturing, industrial, or trading environment.
Proven experience in sales administration, quotation preparation, and customer coordination.
Experience in sales order management and logistics/shipping administrative coordination will be considered a strong advantage.
Strong track record in handling customer accounts and supporting sales activities.
Basic understanding of commercial terms, contract administration, and costing structure.
Ability to coordinate effectively with engineering, production, and finance departments to ensure smooth order execution.
Experience handling export documentation and international customer accounts will be an advantage.
Familiar with ERP systems or sales/order management systems.
Strong communication, negotiation, and problem‑solving skills.
Good command of English, both written and spoken.
Proficient in Microsoft Office applications, particularly Excel and Word.
Detail-oriented, well-organized, able to manage multiple tasks under deadlines, and capable of working independently with high accountability.
Experience in industrial equipment, oil & gas, or upstream energy industry will be an advantage.
