About the role
We’re looking for a meticulous and proactive Operation Admin to join our team at PT. Digital Sarana Legoas in our West Jakarta office to streamline the end‑to‑end auction process on our digital platform. You will be responsible for managing asset data from our corporate partners (Multifinance, Rental, FMCG, and Insurance), ensuring all auction listings are accurate, and coordinating the administrative flow from asset onboarding to post‑sale reporting.
What you’ll be doing
Data Management & Listing:
Receive and verify asset lists from corporate clients. Upload and manage high‑volume data (specs, pictures, and conditions) onto the digital auction platform with 100% accuracy.
Auction Scheduling:
Coordinate the auction calendar, ensuring all approved assets are assigned to the correct auction sessions and tiers.
Client Coordination:
Liaise with contact persons from Multifinance and Insurance firms to confirm asset availability and resolve any data discrepancies.
Payment & Billing Reconciliation:
Work closely with the Finance team to verify final payments before authorizing asset release.
Reporting & Analytics:
Generate post‑auction reports for clients, including Sold/Unsold ratios, final bid prices, and buyer trends.
Vendor Coordination:
Support the Procurement and Custodian teams by tracking mobilization schedules and ensuring storage facility records match the digital inventory.
Contribute to the continuous improvement of our administrative processes.
What we’re looking for
Education:
Minimum Bachelor’s Degree (S1) in Business Administration, Management, or Information Technology.
Experience:
1–2 years of experience in Sales Admin, Operations, or Data Entry (experience in e‑commerce, leasing, or auction houses is a major plus).
Technical Proficiency:
Expert level in Microsoft Excel (VLOOKUP, Pivot Tables) and comfortable learning new CMS/Dashboard software.
Analytical Skills:
Strong ability to process large datasets and identify errors or missing information quickly.
Communication:
Professional email and verbal communication skills for dealing with corporate client representatives.
Agility:
Ability to multitask in a fast‑paced environment where auction deadlines are fixed and non‑negotiable.
Team player with a positive attitude and ability to work collaboratively.
Strong attention to detail and a commitment to delivering high‑quality work.
