Who We're Looking For? Preferably has 1+ years of experience in export and import roles based in Oleochemical Industry or FMCG Industry. Fluent in English, A strong believer in the power of winning together, Excited about being part of a dream Strong understanding of Minister of Finance and Minister of Trade Regulations, Customs and Excise, Regulations, General Provisions on the Use of INSW, CEISA 4.0, Export Declaration (PEB) and Import Declaration (PIB), and the Inbound Movement of Goods from Domestic Sources, whether from another Bonded Zone or non-Bonded Zone areas. Good communication and coordination skills with logistics partners. Excellent communication and negotiation skills, with the ability to build and maintain strong relationships with stakeholders. Proficient in using trade management software and tools, such as CEISA 4.0, INSW, OSS system. Able to come to our site in Sei Mangkei, Simalungun, North Sumatera

What You'll Be Doing? Managing and facilitating documentation processes and communication with relevant authorities (Customs, Industrial Estate Administrators, etc.) to ensure timely and smooth inbound and outbound flow of goods without administrative obstacles. Managing the utilization of customs facilities such as import duty exemption (masterlist), bonded zone, or Special Economic Zone (SEZ) to optimize logistics and operational costs for the company. Acting as a liaison between the company and the Customs Office to maintain a positive, proactive, and cooperative working relationship in resolving issues or clarifying documents.

Key Responsibilities: Prepare, review, and directly coordinate with the Procurement team or suppliers regarding any missing documents, as well as archive all inbound documents, whether originating from other locations within the Customs Area, from outside the Customs Area, between entities with the same facilities, or within the same Special Economic Zone (SEZ). Preparation document of PPKEK Pemasukan TLDDP, PPKEK Pemasukan LDP, Free Movement, PPFTZ (if any), BC 4.0, 2.3 and 2.7 Input data into national customs systems such as CEISA, INSW, or OSS; monitor the status of applications and clearance processes through these systems; and input and maintain document data in the company’s internal system. Ensure compliance with all regulations, including customs regulations, trade agreements, and licensing requirements. Preparing support document and supervision process checking goods phisic with Customs or another relevant agency. Match document data with actual goods conditions (quantity, type, value). Participate in resolving operational issues such as delayed documents, surprise inspections (CCTV, audits), or discrepancies in HS code data. Assist in resolving issues in the field quickly and accurately to avoid demurrage or fines. Accompany Customs inspections, particularly for stocktaking, goods verification, or field audits. Prepare documents and explain the flow of goods to inspection officers. Update customs documents to the IT Inventory System, data on the updated documents must include at least the type of document, application number, registration number, document registration date, name of goods, quantity of goods, type of goods, price of goods. Prepare reports on inbound goods, whether originating from other locations within the Customs Area, from outside the Customs Area, between entities with the same facilities, or within the same Special Economic Zone, for both internal and external reporting purposes. Record all clearance times for reporting document closure to customs or hangar officers. Maintain proper archiving files at company’s domestics/exports in scan file/share folder/hard copy file. Report any operational or administrative issues that occur in the customs process. Provide recommendations for solutions and follow-up actions to prevent recurrence of the problem. Submit reports to management, direct superior.
