Role Description - Executive Assistant to CEO
This is a contract, on-site position based in Tebet, Jakarta ,
with the possibility of converting to a full-time role based on performance.
The Executive Assistant serves as the CEO’s strategic support partner. The role ensures the CEO can stay focused on macro-level business development by taking full ownership of communication management, scheduling, prioritization, and daily coordination across the company.
Key Responsibilities
Decision Support & Information Filtering
Pre-screen and filter incoming information (e.g., email, WhatsApp) before it reaches the CEO, ensuring only high-impact issues require attention
Prepare concise executive summaries for strategic matters to support the CEO's decision-making
Respond to messages or emails on behalf of the CEO for routine coordination matters
Agenda & Priority Management
Strategically organize the CEO’s calendar to ensure time is allocated only to high-value discussions, avoiding meetings that can be delegated
Identify potential issues that may disrupt the CEO’s priorities or schedule and proactively coordinate mitigating actions
Serve as an early warning system for operational, financial, or organizational risks that require CEO's awareness
Prepare concise 1-page briefing notes prior to each meeting
Project Tracking & Execution Management
Monitor the progress of strategic initiatives assigned by the CEO and ensure follow-up from GM/Manager-level stakeholders on reports, deadlines, and progress updates
Track deliverables, deadlines, and ensure timely execution without the CEO needing to chase updates
Serve as meeting scribe for Board/Executive meetings and promptly distribute action plans to all participants after meetings
Strategic Administration
Prepare professional presentation materials for the CEO’s external engagements (Banks, Clients, Government)
Handle all logistics related to the CEO’s business travel, including tickets, accommodations, and on-ground transportation
Stakeholder Management
Act as a professional representative of the CEO when interacting with banks, clients, government officials, and external partners
Maintain strong communication and coordination channels on behalf of the CEO
Key Qualifications
Bachelor’s degree in any major from a reputable university. Degrees in Civil Engineering, Law, Business Management, or Communications are a plus
Min. 3–5 years of experience as an Executive Assistant, Personal Assistant to C-level executives, or Project Secretary in adjacent industries (Construction, Mining, Consulting, Finance)
Tech Savvy: Proficient with productivity tools such as Google Workspace (e.g., Google Meet, Gemini AI, Google Calendar, Google Docs, Google Sheets), Zoom, and modern digital tools
Adaptable: Comfortable working with the CEO’s dynamic schedule, including occasional business travel if required
Communication Skills: Ability to draft clear and professional emails, briefing notes, meeting summaries, and external correspondence (e.g., WhatsApp/Email) on behalf of the CEO
Assertive yet polite. Able to decline non-priority requests or visitors without waiting for the CEO's instructions
High Integrity, maintaining 100% confidentiality of the company and executive information
Ability to read situations, understand interpersonal dynamics, and adjust communication style
