Job Description

Hikari Indo Sarana is seeking a detail-oriented and organized Project Coordinator to support project administration and documentation processes. This role is responsible for ensuring that all project documentation, reporting, and billing requirements are properly managed and completed in a timely manner. The Project Coordinator will work closely with Project Managers, Engineers, Site Teams, and the Finance Admin to maintain accurate project records, coordinate documentation flow, and support the overall administrative aspects of project execution. Key Responsibilities

Manage and monitor project documentation to ensure all required documents from project teams are complete, accurate, and properly recorded. Support project billing processes by verifying and compiling required documents such as project reports, BAP, BAST, and other supporting documentation. Coordinate with Project Managers, Engineers, and Site teams to ensure smooth documentation flow and resolve administrative issues during project execution. Prepare and maintain project administrative reports, including documentation progress and billing status. Organize and maintain proper project documentation filing systems (both hardcopy and softcopy). Assist in preparing project-related documents such as payment documents, handover documentation, and project reports. Ensure compliance with project documentation procedures and company administrative standards. Support project kickoff documentation and assist in final project documentation during project completion. Act as the administrative liaison between project teams and internal departments such as Finance, Accounting, and Tax. Qualifications

Minimum Diploma (D3) or Bachelor’s Degree in Administration, Management, Engineering, or related fields. Minimum 3–4 years of experience as a Project Administrator or Project Coordinator, preferably in project-based or construction-related industries. Able to understand shop drawings and basic project documentation flow. Familiar with project document processes such as PO, BAP, and BAST. Proficient in Microsoft Office (especially Excel and Word) for reporting and document preparation. Strong attention to detail with good documentation and data management skills. Good communication skills to coordinate with multiple teams and stakeholders. Strong organizational and time management skills to handle multiple project documents simultaneously. Proactive, disciplined, and able to follow up on project documentation effectively.
