Organizational Setting
FAO Representation in Indonesia is relocating its Representative Office from Menara Thamrin Building (MTB) to new premises provided by Ministry of Agriculture (MoA), located at Center for Food Crop Agriculture Assembly and Modernization, Pasar Minggu, South Jakarta. With the establishment of FAO’s dedicated office premises within the MoA compound, there is a need to ensure the continuous provision of reliable office support services to maintain a clean, safe and well-functioning working environment. The new office setting requires dedicated on-site support personnel to ensure operational continuity and adherence to FAO administrative and facility management standards.
In this regard, FAO Indonesia requires the services of an Office Helper (OH) to support the daily operational and administrative needs of the Country Office.
Reporting Lines
The incumbent will work under the direct supervision of Assistant FAO Representative (Administration) and in close coordination with the Administration and Operations Unit of FAO Indonesia, under the overall guidance of the FAO Representative.
Technical Focus
Provision of efficient and reliable office support services to ensure a professional, clean, safe and well-functioning working environment. The role focuses on maintaining office cleanliness, supporting administrative and logistical tasks, managing office supplies and deliveries, and assisting in safety and security compliance within FAO Representation Country Office.
Tasks And Responsibilities
Office Maintenance & Cleanliness
Daily cleaning and tidying of workspaces, meeting rooms, pantry, and common areas.
Ensuring washrooms and kitchen areas are hygienic and well-stocked with supplies.
Proper disposal of waste and recycling materials.
Monitoring and reporting any maintenance or repair needs (e.g., electrical, plumbing, furniture).
Supporting Office Staff
Assisting with general administrative tasks such as photocopying, scanning etc.
Helping in the preparation and organization of office materials, office files, document archives (physical and electronic)
Register incoming and outgoing correspondence, parcels, official documents, and courier service.
Assist staff in retrieving administrative documents and records when required
Pantry & Hospitality Services
Preparing and serving tea, coffee, and refreshments for staff and visitors as required.
Maintaining cleanliness and stock of pantry supplies.
Ensure common office areas orderly and ready for use
Office Supplies & Inventory Management
Monitoring and maintaining office supplies (stationery, cleaning materials, pantry items).
Informing the Office Manager when supplies need to be reordered.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
Completed High school diploma or equivalent
At least 3 year of relevant experience in office support, cleaning, or facility maintenance.
Working knowledge of English
