Overview
We are looking for a Mandarin-speaking Project & Office Coordinator who is highly organized, detail-oriented, and proactive in managing tasks and communication. This role supports project execution by ensuring timelines, documentation, and coordination between teams are handled smoothly. The ideal candidate is someone who enjoys organizing work, keeping things structured, following up actively, and taking initiative without waiting for instructions.
Responsibilities
Project Coordination
Assist in organizing project schedules, timelines, and task tracking
Coordinate between internal teams & clients
Follow up on pending items and ensure timely completion
Provide regular updates on project progress
Anticipate potential delays and proactively raise concerns; documentation & organization
Maintain well-structured project documentation
Track milestones, tasks, and deadlines
Ensure files and communications are properly organized
Assist with preparing documents for permit application
Office Admin
Administrative support work, such as document handling, daily office management, assisting with arranging transportation and accommodation, and coordinating with the Business Manager and HR on some routine administrative tasks
Requirements
Language
Must be fluent in Mandarin (spoken & written)
Basic English communication if possible
Highly organized and detail-oriented
Able to manage multiple tasks neatly and systematically
Proactive in follow-ups
Strong sense of responsibility
Takes initiative without being told
Responsive and communicative
Good problem-solving mindset
Skills
Good time management
Comfortable using Excel / Google Sheets / project tracking tools
Able to multi task and work in a fast-paced environment
