Responsibilities
Monitor implementation of MD decisions across all departments
Follow up cross-functional tasks (Commercial, Marketing, Finance, HR, IT, Warehouse)
Act as liaison between the MD and Department Heads
Ensure projects run according to timeline & KPIs
Prepare Weekly Executive Report (company performance summary)
Convert manager reports into executive-level summary
Maintain company performance dashboards:
Sales
Cashflow
Inventory
Marketing performance
Project progress
Meeting Control & Documentation
Prepare management meeting agenda
Control meeting flow toward decisions
Create Minutes of Meeting (MOM) with action plan
Track action items until completion
Decision Support & Analysis
Prepare data before MD decision making
Compare business options (pricing, channels, promotions, hiring, projects)
Provide simple risk & impact analysis
Cross-Department Coordination
Resolve interdepartmental bottlenecks
Sales vs Warehouse
Marketing vs Finance
IT vs Operations
HR vs Department Heads
Confidential & Sensitive Matters
Draft director decrees & internal policies
Assist management performance evaluation
Handle sensitive issues that cannot follow normal hierarchy
Executive Administrative Support
Manage calendar, meetings, and travel
Handle emails & communication filtering
Prepare documents, letters, and presentations
Organize contracts & files
Prepare meeting materials
Qualifications
Minimum Qualifications
Graduated from a reputable university (local or overseas) in Business Administration, Management, Industrial Engineering, Accounting, or related fields, with strong exposure to structured corporate or professional environments.
4–7 years of progressive working experience, including at least 2–3 years supporting senior management, project coordination, business operations, or management reporting roles.
Candidates must demonstrate stability, with a minimum tenure of 2–3 years in at least one previous company.
Demonstrated ability to coordinate cross-department initiatives, track action plans, and ensure execution of management decisions across multiple functions.
Proven experience translating discussions and operational reports into concise executive summaries and actionable insights.
Familiar with business processes across sales, marketing, finance, operations, and basic HR workflows in a mid-sized or growing organization.
Experience in retail, distribution, manufacturing, or multi-branch operations is preferred.
Capable of preparing management dashboards, reports, presentations, and meeting documentation with high accuracy and confidentiality.
Strong organizational, follow-up, and communication skills; able to interact professionally with managers and department heads.
Bilingual in Bahasa Indonesia and English (written and spoken proficiency required).
