Our client, a prestigious Family Office, seeks a discreet and proactive Bilingual PA & Property Manager to support a high-profile family with their residences within Spain and Europe. This role will be undertaken from the Family Office in Madrid however will require weekly domestic travel and occasional trips to other European properties.
The remit for this role is wide, with responsibilities including (not limited to):
Personal Assistant
Proactively anticipate the needs of the individuals, learning preferences and incorporating these into all aspects of day-to-day routine
Act as key facilitator for personal needs. Developing close working relationships with Family Office team, Corporate Executive Assistants, Security and wider international team to improve scheduling and organisation
Private Agenda & travel management often subject to last minute changes
Working closely with teams of staff for various international households in Spain, UK and Switzerland (liaising with domestic staff, managing utilities contracts, following up with local professionals, maintenance, repairs, security, insurance and vehicles, sourcing items for property if/when necessary)
Coordinate purchases for individuals and relevant supplementary documentation, deliveries, returns, managing and tracking shipments etc.
Event management: Broadly for 4-5 Spain based events a year. Oversee all aspects of the event, act as key point of contact, ensure necessary protocol is adhered to due to the nature of attendees and be “on call” during event (although attendance isn’t required)
Project management: manage projects simultaneously and flexibly, oversee timelines and follow up to ensure timely completion
Ad hoc requests for individual and wider family as required
Property Manager
Ensure the smooth operation and upkeep of approximately six high-end properties across Spain, the UK, and Switzerland, maintaining the highest standards
Oversee the daily operations of multiple residences
Act as primary point of contact for all household staff across properties, keeping Family office abreast of any staff updates and ensuring relevant information relayed and recorded
Act as key contact for established providers, building relationships, recording and relaying any relevant information
Manage maintenance, repairs, and ongoing works
Support the management of utilities contracts alongside the Private Personal Assistant and Family Office team
Coordinate and oversee property-related purchases
Candidates will ideally have a bilingual level of English/Spanish (due to contact with UK and Switzerland) whilst additional languages will be viewed favourably. A relevant University degree previous experience either in a Private Family Office or luxury hospitality is preferred. Proficiency with standard Tech (Microsoft 365, VC Software, Slack etc.) required. Familiarity with protocol and high-profile client interaction is advantageous.
The ideal candidate will be flexible, resilient and enjoy working in a well organised environment where high standards are expected to be maintained. They will be organised and enjoy detail. The ability to build trust and exercise sound judgement is essential for this position. Utmost discretion and strict confidentiality are also paramount for this role.
Location - Madrid
Salary - Competitive
Timetable - Normal office hours however complete flexibility required
Hybrid/On site - Predominately on site in Madrid with weekly national travel. 4 - 5 weekends a year required for high profile events (compensated with days off at other points). Very occasional European travel required
