Position Summary: We are seeking a detail-oriented

Academic Operations & Scheduling Officer

to join our Barcelona team. This pivotal role ensures the seamless operation of the academic year by managing complex scheduling logistics, faculty workloads, and classroom utilization.

Beyond logistics, you will serve as a key point of contact for students, providing academic advising and intervention strategies to ensure student retention and success. This is a "high-touch" role requiring a blend of technical data management and interpersonal empathy.

Data & Logistics: Scheduling:

Lead the design and management of faculty, room, and assessment schedules using

Excel and Power BI

. Resource Optimization:

Monitor faculty workloads and room utilization to ensure operational efficiency. System Integrity:

Update and maintain the student administration system (SIS) with 100% accuracy regarding attendance and assignments. Reporting:

Generate performance reports and data visualizations to assist in campus planning and growth.

Student Success & Advising: Academic Guidance:

Act as a dedicated advisor, helping students establish and reach attainable academic goals. At-Risk Intervention:

Identify students at risk of failure and develop personalized success plans and resource referrals. Policy Expert:

Interpret institutional policies for students and provide support for life challenges that may impact their degree completion. Onboarding:

Lead academic presentations during new student orientations.

Campus Operations Agile Coordination:

Manage class cancellations and proactively arrange replacements to minimize disruption. Collaboration:

Work closely with Heads of Department and Front Desk staff for seamless daily delivery. Faculty Liaison:

Act as the first point of contact for screening in faculty recruitment. Event Support:

Assist in organizing school events and internal coordination meetings.

About you: Experience:

1-2 years in academic scheduling, registrar services, or operations. Previous exposure to academic databases is highly preferred. Technical Edge:

Advanced proficiency in Microsoft Excel and data visualization tools (Power BI preferred) for analyzing data & generating insightful reports. Core Competencies:

Meticulous attention to detail and the ability to hit deadlines in a fast-paced environment. Communication:

Exceptional interpersonal skills in English. You are comfortable navigating a multicultural environment.

What we offer: 6-Month Contract. 1 day per week home office. Short days on Fridays and during Summer. International Environment: Work with a global team in the heart of Barcelona. Competitive salary based on experience.
