About the Role As an Associate Executive, you will be providing full secretarial, operational and administrative support to the Department of Lymphoma & Sarcoma. You will support the Department in their clinical, education and research initiatives. You will perform liaison functions to ensure smooth flow of information within the Department, as well as with other departments within the Hospital and external organisations.

Some of the Key Responsibilities include:

Coordinate meetings, schedules, calendar invites, room bookings (FRS), and virtual/hybrid meetings (Zoom/Teams)

Prepare agendas, manage logistics, record minutes, track attendance, and follow up on action items

Liaise with clinicians, residents, research staff, management offices, and external stakeholders to ensure effective communication

Provide general administrative and office support, including staff welfare and engagement activities

Support procurement and administrative needs for research coordinators and departmental activities

Assist with departmental outreach, publicity, workshops, conferences, seminars and talks

Maintain IRB site files, track CITI and IRB expiries, and coordinate renewals and extensions

Provide basic data entry, research documentation support, and submit monthly lab claims

Support departmental events with AV setup, logistics, catering, and day‑of‑coordination

Assist with post‑event reporting, claims, invoices and audience data collation

Job Requirements:

Diploma holder or equivalent with at least 2 years of relevant working experience

Proficient in computer applications including Microsoft Office (Excel, Powerpoint, Word)

Strong organizational, multitasking, and communication skills

Ability to work independently and collaboratively

Knowledge in Cancer Research will be added advantage
