Brief Overview
The Administrative Support role provides comprehensive administrative and logistical support to the MN–S Ministry and Language & Identity. This position is responsible for coordinating meetings and events, maintaining records, managing communications, and assisting with financial and program-related processes. The role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with Program Coordinators, partners, and community members to ensure efficient delivery of MN–S education programs and services.
Key Responsibilities
Provide courteous and accurate responses to inquiries regarding MN–S programs and supports.
Collaborate with MN–S Program Coordinators and partners to deliver feedback and support program evaluation.
Maintain and organize files and records in accordance with MN–S protocols and confidentiality standards.
Update and manage spreadsheets, documents, and other records as required.
Assist with getting signatures for service agreements and other documents as needed.
Schedule and coordinate in-person and virtual meetings; prepare and distribute meeting minutes.
Order and manage general office supplies and perform routine administrative updates and processes.
Create, edit, and proofread correspondence and documents to ensure clarity and professionalism.
Represent the MN–S Education Department professionally in communications with citizens, partners, and organizations.
Receive, log, and distribute incoming mail and faxes; prepare outgoing correspondence and courier items.
Process and track payments in collaboration with Program Coordinators; manage float card transactions including in person and online transactions.
Coordinate logistics for meetings, events, and conferences, including venue booking and material preparation.
Provide general administrative and logistical support to the Language & Identity, K-12, PSE, Youth; Women & Gender Equity teams.
Contribute to team initiatives and perform additional duties as assigned to support departmental goals.
Knowledge and Skills
Strong knowledge of administrative and office procedures, including record management and confidentiality standards.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other digital collaboration tools (e.g., Teams, Zoom).
Understanding of Métis Nation–Saskatchewan (MN–S) programs, services, and governance structure is an asset.
Excellent written and verbal communication skills with the ability to represent the department professionally.
Strong organizational and time management abilities, with capacity to manage multiple priorities and deadlines.
Attention to detail and accuracy in document preparation, data entry, and record keeping.
Ability to work independently and collaboratively within a team environment.
Strong interpersonal skills, demonstrating courtesy, discretion, and cultural awareness in interactions.
Problem-solving and critical-thinking abilities to support program coordination and process improvements.
Experience with financial tracking, payment processing, and basic budgeting is an asset.
Flexibility to support events, meetings, and community activities, including occasional travel or varied hours.
Qualifications
High school diploma required; post-secondary education in administration or a related field is an asset.
Minimum of one (1) year of experience in an administrative or office support role.
Experience working with Métis, First Nations, or other Indigenous organizations or communities is considered an asset.
Additional requirements
A valid Saskatchewan driver’s license and/or access to reliable transportation to our downtown location would be required.
The successful candidate must undergo a Criminal Record Check.
The Travel requirement for this position is 10%.
