Main purpose of job: The role exists to ensure effective, safe and compliant delivery of Estates and Facilities operations in São Paulo, with coordinated oversight of Belo Horizonte and Recife. The jobholder manages workplace services, contractors and maintenance activities; supports compliance across Estates, IT, Transport & Logistics and Security (non‑security decision‑making); and ensures consistent application of FCDO policies, UK Government regulations and Brazilian legislation. The role works closely with Corporate Services leadership, technical specialists, UKBs and suppliers, contributing to strong governance, service quality and operational resilience across the Brazil Network. Key Responsibilities: Lead day‑to‑day Estates and Facilities operations in São Paulo, overseeing cleaning, reception, maintenance requests, workplace readiness and customer service standards. Coordinate maintenance activities, including logging, prioritisation, follow‑up, close‑out and communication with customers and suppliers. Oversee facilities‑related operations in Belo Horizonte and Recife, ensuring service continuity, supplier performance and compliance with established standards. Plan, coordinate and monitor refurbishments, improvement works and minor projects, ensuring quality, schedule discipline, safe working practices and compliant handovers. Ensure compliance with UK Government regulations, FCDO policies and Brazilian legislation, maintaining accurate documentation, contractor controls and H&S records. Support cross‑functional compliance activities across IT, Transport & Logistics and Security (non‑security decision‑making), reinforcing internal controls, procurement rules, processes and documentation standards. Conduct routine checks, spot‑audits and compliance reviews, identifying risks and recommending corrective actions. Provide clear and proactive communication with internal stakeholders, UKBs, regional specialists, suppliers and external partners. Produce concise compliance updates and operational briefings for senior leadership. Line‑manage Estates support staff in São Paulo, setting priorities, monitoring performance and ensuring alignment with operational demands. Coordinate weekly planning meetings to organise Estates workflows and address cross‑team dependencies. Support workplace operations such as meeting room readiness, internal moves, layout adjustments and event support as required Resources managed (staff and expenditure): Line manages 2 x AA and 2 x S3 Essential qualifications, skills and experience

Essential on arrival: Proven experience in Facilities/Estates Management, including delivery of estate services across multiple locations (São Paulo, Belo Horizonte and Recife), coordination of maintenance activities, and strong oversight of contractors and project works in a corporate environment. Strong capability in operational compliance, including Health & Safety, procurement controls, and documentation standards, with the ability to ensure adherence to Brazilian legislation and internal policies. Demonstrated leadership and team management experience, including setting priorities, allocating tasks, monitoring performance, and maintaining service standards. Practical experience planning and delivering maintenance and project works, ensuring quality, timelines, safety, and proper handover processes. Excellent stakeholder management and communication skills, with the ability to influence, negotiate with contractors, advise senior management, and communicate clearly with internal stakeholders and suppliers. Excellent organisational, planning and judgement skills, with the ability to manage competing priorities, identify risks and propose practical solutions. Demonstrated ability to manage and lead teams, set priorities, allocate tasks, monitor performance and maintain service standards. High professional integrity, sound judgement, strong organisational skills and attention to detail, with the confidence to uphold internal controls and address non-compliance when required. High standard of documentation control, operational planning and process discipline, ensuring accurate reporting and efficient workflows. Professional/Academic background in Facilities Management, Civil Engineering, Architecture, Safety Engineering, or equivalent relevant experience.
