We are not looking for a traditional assistant. We are seeking a highly experienced, C-level Executive Business Partner to provide a strategic uplift to our executive leadership. This is a critical role for someone who views themselves as a "gatekeeper" and "gateway," capable of operating as a seamless extension of the executive. Your mission will be to maximize executive impact by providing clarity in chaos, anticipating needs before they arise, and managing high-stakes operations with complete autonomy.
This is a step-change in how we approach executive support. We need a partner who can navigate a global, fast-paced environment and manage complex workflows with a proactive, high-judgment approach.
Core Competencies & Mindset
Strategic Anticipation: You don't just react; you predict. You understand the executive's short-term tactics and long-term goals, using that insight to prepare materials, block strategic thinking time, and redirect low-priority distractions before they reach their inbox.
High-Stakes Judgment: You have the poise and discretion to manage sensitive information, board-level communications, and investor relations. You know when to act independently and when to escalate.
Global Fluency: You are culturally aware and adept at managing complex logistics across international borders. You understand the nuances of language and timing to ensure seamless communication.
Process Optimization: You are a systems thinker. You don't just follow workflows; you build and refine them to create efficiency across the entire executive support layer.
Key Responsibilities
Strategic Calendar & Inbox Management:
Own the executive's time with fierce protection. Proactively manage a complex, dynamic calendar, ensuring time is allocated to strategic priorities, deep work, and preparation, not just meetings.
Act as a high-level gatekeeper, triaging internal and external requests with sound judgment regarding urgency and business impact.
Conduct light inbox management, flagging high-priority communications and drafting responses where appropriate to ensure critical matters are addressed swiftly.
Executive Communications & Liaison:
Serve as the primary point of contact for internal teams and external partners (including board members and key investors), ensuring all interactions are handled with professionalism and the executive's voice in mind.
Draft, review, and refine internal communications and presentations to ensure clarity and alignment with company goals.
High-Stakes Project & Logistics Coordination:
Orchestrate complex, multi-leg international travel itineraries, including visas, ground transportation, and accommodations, with contingency plans for last-minute changes.
Plan and execute high-profile events such as board meetings, investor dinners, and executive off-sites, managing all logistics from venue selection to catering and technology setup.
Oversee the submission and tracking of expense reports, ensuring strict compliance with company policies.
Operational & Business Support:
Act as a strategic liaison to other departments (IT, Finance, Facilities) to resolve administrative issues swiftly, ensuring the executive's workflow is never interrupted.
Identify and implement new tools and processes to streamline executive operations and improve bandwidth across the leadership team.
Provide on-the-go support during critical travel or high-intensity periods, being reachable for urgent, time-sensitive matters.
Preferred Qualifications & Caliber Indicators
Experience: Minimum 3+ years of experience supporting C-level executives, preferably in high-growth tech, SaaS, or digital agency environments.
Technical Mastery: Expert-level proficiency in Google Workspace, Slack, Zoom, and modern scheduling/automation tools (e.g., Calendly, CircleBack, or similar).
Availability: Must be able to work standard U.S. business hours, with the flexibility to support executives across Eastern and Pacific time zones as needed.
Communication: Impeccable written and verbal English communication skills; additional languages are a significant plus.
Judgment: Proven track record of handling highly confidential information with the utmost discretion and integrity.
Resilience: Thrives in a fast-paced, ever-changing environment and remains calm under pressure.
