Operational Specialist

This role focuses on day-to-day operational execution, including order processing, logistics coordination, systems data maintenance, reporting, and invoice processing. The role involves working with high volumes of operational and financial data and requires strong attention to detail, accuracy, and organizational skills.

Responsibilities: Create and manage purchase orders and operational records Support coordination with overseas production and manufacturing partners Assist with order execution across multiple operational workflows Maintain accurate data across ERP and related operational systems (e.g., SKUs, shipments, inventory receipts) Coordinate shipments with third-party logistics partners and external fulfillment providers Track shipments and assist with resolving delivery issues or discrepancies Process and code operational invoices and expense documentation Prepare invoice summaries and support payment workflows Support recurring operational and inventory reporting Assist with periodic inventory reviews and reconciliations Document and maintain standard operating procedures (SOPs) for operational workflows Assist with operational projects as needed Qualifications: Experience supporting operations, supply chain, logistics, or fulfillment workflows Experience working with third-party logistics providers and/or external vendors Comfort working with systems-based data entry and high-volume operational data Strong attention to detail and accuracy in data management and documentation Familiarity with basic operational or accounting processes Proficiency in Microsoft Excel (e.g., VLOOKUP functions, pivot tables, complex formulas) Ability to manage multiple priorities in a deadline-driven environment Well-organized with strong time management skills Proficient English communication skills, both written and verbal
