Job Description
Day Oncology in Epworth Geelong is seeking a casual Bookings Officer to manage patient appointments and coordinate schedules for cancer treatment services within the unit. This role ensures a smooth and efficient flow of patients through the Day Oncology unit, often serving as the primary point of contact for patients and their families before and during their visit. It is a front‑line customer service role involving a high level of interaction with patients and their families, medical, nursing, and allied health staff both in person and over the telephone. It also involves general clerical duties such as monitoring and managing stationery and ward supply orders, ensuring reception and waiting area is kept clean & tidy.
About You
To succeed in this role, you will be an enthusiastic individual with a passion for customer service and strong attention to detail. The ability to converse and be empathetic whilst working amongst a busy flow of incoming and outgoing patients is a key skill needed for this role. You will have strong communication and interpersonal skills and should be comfortable working in a team of doctors, nurses, pathologists, administrators and non-clinical staff. This role will suit an individual with proven medical administration experience as this is a fast‑paced environment.
Responsibilities
Accurate management in administration of Day Oncology bookings into both IPM and Aria
Health fund checks
Receiving and processing appointment requests from doctors or other healthcare professionals
Providing information to patients about their appointments, including dates, times, and any necessary preparation
Providing administrative support to our team
Liaising with specialist doctors’ rooms
Coordinating with other departments, such as radiology or pathology, for required tests or procedures
Optimizing capacity – working to maximize the efficiency of the Day Oncology unit's capacity
Ensuring a positive patient experience by providing excellent customer service and support to patients and their families
Qualifications and Experience
Experience utilising Microsoft Office suite with ability to maintain data entry accuracy
Previous experience in hospital bookings (Highly desirable)
Experience using Patient Information Systems (e.g. IPM)
Experience in hospital mainframe systems (Desirable)
Experience with Health Fund checks (Desirable)
A professional phone manner with experience managing incoming and outgoing calls
Proven ability to work in a customer service focused environment
