Finance and Insurance Ballet Without Borders

Job Description

Oversee the financial governance of the charity in line with its constitution, relevant legislation, and ACNC/ASIC requirements (as applicable). Ensure accurate financial records are maintained and retained in accordance with legal and audit requirements. Prepare and present financial reports to the Board (e.g. profit and loss, balance sheet, cashflow, budget vs actuals) on a regular basis. Coordinate the preparation and lodgement of annual information statements, charity returns, and any other statutory filings. Lead the budgeting process, including preparation of the annual budget in consultation with the Board and relevant stakeholders. Monitor income and expenditure against budget, highlighting risks, variances, and opportunities to the Board. Oversee cashflow management to ensure the organisation can meet its financial commitments. Implement and review financial policies, procedures, internal controls, and delegations appropriate for a small NFP. Banking and Transactions

Manage the charityโ€™s bank accounts and online banking facilities, including setting up and authorising payments within agreed delegations. Ensure appropriate approval processes for invoices, reimbursements, and grants expenditure. Oversee payroll and superannuation obligations. Maintain accurate records of all financial transactions (using accounting software or spreadsheets, depending on current systems). Reporting and Strategy

Provide clear, timely financial information to support Board decisionmaking and strategic planning. Support the development of funding strategies and grant applications by providing financial input (budgets, costings, financial projections). Advise the Board on financial risks, sustainability, and the financial implications of programs and projects. Audit and Risk

Coordinate any external review or audit processes as required by funders or regulators. Ensure appropriate financial risk management practices are in place (insurance coverage, fraud controls, segregation of duties where possible). Maintain a register of financial commitments and contingent liabilities, and report to the Board as needed. Working Relationships

Reports to: Chair/President of the Board. Works closely with: Other Board members, any paid staff or key volunteers External relationships: Bank, accountant/bookkeeper (if any), auditor/reviewer, funders, and relevant regulators as required. Time Commitment

Board meetings: Quarterly Board meetings. Other Meetings: Monthly KPI / Action Meetings / ad-hoc meetings as required. Operational work: Approx. 2-4 hours per week on financial processing, reporting, and correspondence, with higher workload at budget and yearend periods. Term: 2-year term, with option for reappointment. Skills and Experience

Experience not essential if strong experience. Understanding of basic financial statements and budgeting. Familiarity with NFP or charity environments is highly regarded (or willingness to learn NFP-specific requirements). Competence with accounting software or spreadsheets, online banking, and document management tools. Strong attention to detail, reliability, and a collaborative working style. Personal Attributes
