About the Role HUPO is a growing performance and wellbeing business based in Burleigh Waters, led by co-founders who have worked together for over 20 years in both life and business.

We are seeking a highly experienced Executive Assistant to support the CEO and help create the structure, clarity, and operational rhythm that enables the business to scale sustainably.

This is a senior, career EA role. You will act as a trusted partner to the CEO, owning systems, communication, logistics, and execution across the business. The purpose of this role is to protect the CEO’s time and energy so she can focus on strategic growth rather than day-to-day operational demands.

This is not a junior or purely administrative position. It is suited to someone who thrives on ownership, pace, autonomy, and impact.

What Success Looks Like Within the first 3–6 months:

The CEO feels increasingly supported and less mentally stretched

Operational tasks and recurring workflows are handled proactively without prompting

1:1 sessions, workshops, and key engagements are consistently prepared in advance

Clear systems begin to emerge where processes previously lived in the CEO’s head

The EA is confidently making day-to-day operational decisions within agreed frameworks

Fewer tasks and questions bounce back to the CEO

Success in this role is measured by leverage, structure, and flow.

Key Responsibilities CEO Support & Leverage

Proactively manage and triage multiple inboxes across the CEO and business brands

Own calendar management, scheduling, travel, and commitments

Prepare agendas, briefs, and follow-ups to ensure meetings are effective

Act as a central coordination point across the business on behalf of the CEO

Coach & Client Enablement

Coordinate onboarding for 1:1 clients (questionnaires, assessments, program logistics)

Manage scheduling and bookings across program durations

Coordinate logistics for workshops, retreats, and key engagements (venues, travel, materials, printing, schedules)

Support client experience before, during, and after engagements

Systems, Operations & Improvement

Capture, document, and refine operational processes

Identify opportunities to streamline workflows and reduce friction

Introduce and trial smarter tools, including AI and automation

Support project management initiatives as the business grows

Communication & Office Coordination

Edit and proofread written communications to a high professional standard

Coordinate internal meeting notes and action items

Liaise with accounts regarding invoices, receipts, and expense management

Provide operational support as required to ensure smooth business functioning

Requirements We are seeking an experienced Executive Assistant who takes genuine pride in operating at a high level.

You will bring:

Proven experience supporting a CEO, founder, or senior executive

Strong systems thinking and ability to document and improve processes

Exceptional organisational and prioritisation skills

Outstanding written and verbal communication skills

High discretion, integrity, and professionalism

Confidence working autonomously and making sound decisions

You are someone who:

Thrives in fast-moving environments

Enjoys building structure where it doesn’t yet exist

Anticipates needs before they are expressed

Takes ownership and follows through

Is tech‑confident and curious about AI and smarter tools

This role is not suited to someone looking to slow down or keep things ticking over. It is best suited to a high-performing EA who enjoys responsibility and impact.

Salary Range $115,000 – $135,000 + superannuation (depending on experience)
