Job Description
For over 45 years Wadlow Solicitors has been providing comprehensive legal services to individuals, businesses and organisations across South Australia. We are seeking an organised and proactive Executive Assistant / Legal Assistant to support our Partners and assist our growing legal team.
This role is ideal for a highly capable administrator or legal assistant who enjoys taking ownership, working in a fast-paced environment and contributing to a professional, client-focused team.
Key Responsibilities
Working closely with the Partners and solicitors, your responsibilities will include:
Executive & Practice Support
Manage calendars, appointments, meetings and court commitments.
Coordinate emails, correspondence and telephone calls, including screening and prioritising matters.
Prepare agendas, take minutes and follow up action items
Legal Administration
Draft, format and amend legal documents, letters and court forms.
Open and close files, maintain accurate electronic and hardcopy records.
Assist with court filings (including electronic filing) and brief preparation.
Coordinate discovery, document collation and bundling as required.
Client Service
Act as a first point of contact for clients, providing professional and courteous assistance.
Arrange client meetings, conferences and teleconferences.
Assist with onboarding new clients, engagement documentation and file setup.
General Office & Practice Management Support
Assist with billing, timesheet follow-up and basic accounts-related tasks.
Liaise with external service providers (barristers, experts, agents and suppliers).
Provide administrative support for marketing, events and general office projects as required.
About You
To be successful in this role, you will ideally demonstrate:
Previous experience as an Executive Assistant, Personal Assistant or Legal Assistant (experience in a law firm or professional services environment will be highly regarded).
Strong document skills, including proficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint).
Excellent written and verbal communication skills and a high level of attention to detail.
Strong organisational skills with the ability to prioritise, multi-task and meet deadlines.
A professional, discreet and client-focused manner.
A proactive mindset, with a willingness to take ownership and anticipate the needs of the Partners and legal team.
Familiarity with legal practice management software (e.g. Smokeball or similar) is desirable but not essential.
